How to Submit Samples

  • Use the sample submittal form with the lab name for all documentation.
  • Clearly label all samples and larger packing bags/boxes. Ensure all numbers are unique.
  • Pack samples in sequence.
  • Submit multiple copies of documents (inside sample bags and on the outside) in case some are lost.
  • Remember to write down your company contact information for easy communication with the lab in case of any problems.
  • Contact the lab before dispatching the sample to let you know the special requirements, codes, and costs of each sample for the commercial invoice.
  • For international dispatches: a letter to the relevant quarantine services with a description of the sampling location and material.  Indicate any expectations of biologically hazardous material.
  • For international submittal, include a commercial invoice for samples.
  • Let the lab know your samples are on the way.  Give them your tracking number.
  • Consider using bar codes to make tracking more automated.
  • Clear instructions for the laboratory: methods, contacts, special instructions, reference to quote, use laboratory codes to ensure there is no mix-up in methods.
